Terms & Conditions – Retreats

These Terms & Conditions apply to retreats organised by Tanatana / vzw L4L, unless different or additional conditions are stated on the specific retreat page.

By booking a retreat, you confirm that you have read and accepted these Terms & Conditions and the applicable Cancellation Policy.

1. Your booking

Your place is confirmed once we have received the deposit stated on the retreat page and confirmed your booking.

Places are personal and cannot be resold or transferred without informing us. If you would like someone else to take your place, please contact us first so we can update the booking and participant information.

The remaining balance must be paid by the deadline communicated during booking. If payment is not received by this date and we have not agreed otherwise in writing, we may treat your booking as cancelled. The normal cancellation conditions will then apply.

2. What is included

Every retreat page clearly describes what is included in the retreat price, such as accommodation, meals, yoga sessions, workshops, excursions or other activities.

Anything that is not specifically listed as included should be considered not included. This may include flights, airport transfers, travel insurance, personal expenses, optional treatments and independently booked activities.

The exact programme may evolve as the retreat approaches. We work with local teachers, guides, producers and other partners, and some experiences also depend on weather and local conditions.

3. Your travel

Unless specifically stated otherwise, you are responsible for arranging and paying for your own travel to and from the retreat destination.

This includes checking passports, identity documents, visas or entry requirements where applicable and allowing enough time to reach the retreat.

Where possible, we may help participants coordinate shared transportation, but this does not make Tanatana responsible for independently booked transport.

4. Travel & cancellation insurance

We strongly recommend taking out appropriate travel and cancellation insurance as soon as you book.

Your insurance should ideally cover illness, injury, travel disruption, cancelled transportation, lost luggage and other circumstances that could prevent you from attending or completing the retreat.

Personal circumstances that prevent you from attending do not change the applicable Cancellation Policy.

5. Health & participation

Our retreats may include yoga, breathwork, meditation, hiking, swimming and other physical or outdoor activities.

You are responsible for deciding whether an activity is appropriate for you and for respecting your own physical limits.

Before the retreat, please tell us about any injuries, allergies, dietary requirements, pregnancy, medical conditions or other relevant circumstances that could reasonably affect your participation or require adjustments from us.

Sharing this information helps us support you, but it does not replace medical advice. If you are unsure whether you can safely participate in an activity, please consult an appropriate healthcare professional beforehand.

You are always welcome to modify, pause or skip a practice or activity.

6. Yoga, breathwork & other practices

Practices are offered for educational and wellbeing purposes and are not a substitute for medical treatment, psychological care or physiotherapy.

Teachers will offer guidance and, where possible, modifications for different levels and bodies. You remain responsible for listening to your body and choosing your level of participation.

No particular physical ability, flexibility or previous yoga experience is required unless explicitly mentioned on the retreat page.

7. Outdoor activities

Some retreats include hiking, swimming, nature walks or other outdoor experiences.

Outdoor activities naturally involve changing terrain, weather and other circumstances that cannot be completely controlled.

Please follow reasonable safety instructions given by teachers, guides and local partners and bring any clothing or equipment communicated to you before the retreat.

If weather or other conditions make an activity unsuitable, we may change the timing, route or activity and provide an alternative where reasonably possible.

8. Food, allergies & dietary requirements

We do our best to accommodate dietary requirements communicated to us before the retreat.

Because meals may be prepared in shared kitchens or by external venues and local partners, we cannot guarantee an entirely allergen-free environment.

If you have a serious allergy or medical dietary requirement, please contact us before booking so we can determine whether it can safely and reasonably be accommodated.

9. Accommodation

Rooms are allocated according to the room category you booked.

If you book shared accommodation, you may share your room with another participant unless you are booking together and have requested to share.

We will make reasonable efforts to accommodate room preferences, but specific rooms, beds or roommates cannot be guaranteed unless explicitly confirmed.

Participants are expected to treat the accommodation and its facilities with reasonable care. You may be held responsible for damage you deliberately cause or that results from serious negligence.

10. Personal belongings

You remain responsible for your own luggage, valuables and personal belongings during the retreat.

Where available, we recommend using safes or secure storage for valuable items and bringing only what you reasonably need.

11. Respecting the group

Retreats are shared experiences. We ask everyone to respect the privacy, boundaries, rest and wellbeing of other participants, teachers, staff and local partners.

We reserve the right to ask someone to leave if their behaviour seriously threatens safety, repeatedly disrupts the retreat or significantly affects the wellbeing of others.

If this happens because of the participant’s behaviour, unused parts of the retreat will not be refunded and any additional accommodation or travel arrangements will remain the participant’s responsibility.

12. Alcohol & substances

Where alcohol is available or forms part of a local food experience, we ask participants to consume it responsibly.

Illegal drugs or behaviour that creates a safety risk for yourself or others are not compatible with participation in the retreat.

We may restrict participation in a physical activity if someone appears impaired and participation would create a reasonable safety concern.

13. Photography & privacy

We may take photographs or video during the retreat for Tanatana’s website, social media and future communication.

You will always have the opportunity to tell us if you do not want to appear in identifiable promotional images or video.

We also ask participants to respect each other’s privacy. Please ask before sharing identifiable photos or videos of another participant publicly.

Any personal or health-related information shared with us for the organisation of the retreat will be handled with appropriate care and used only where reasonably necessary to organise your participation, subject to our Privacy Policy and applicable data-protection law.

14. Programme changes

A retreat involves many moving parts, including weather, local partners, teachers, venues and outdoor conditions.

If necessary, we may make reasonable changes to the schedule, activities, facilitators or location. Wherever possible, we will replace a cancelled element with a suitable alternative.

Changes to individual parts of the programme do not automatically entitle participants to a refund.

If circumstances outside our reasonable control make it impossible to organise the retreat altogether, we will contact participants as soon as reasonably possible about the available options and handle refunds or alternatives in accordance with applicable law.

15. Cancellation

Participant cancellations, transfers, cancellations by Tanatana, postponements and minimum-participant requirements are governed by our separate Cancellation Policy – Retreats.

The Cancellation Policy applicable at the time of your booking forms part of these Terms & Conditions.

16. Minimum group size

Some retreats require a minimum number of participants to take place.

Where applicable, the minimum group requirement and/or relevant confirmation arrangements will be communicated on the retreat page or during booking.

If Tanatana cancels a retreat because the required minimum has not been reached, the provisions of our Cancellation Policy apply.

We recommend waiting for confirmation that the retreat will proceed before purchasing non-refundable flights or other travel arrangements.

17. Responsibility of external providers

Parts of a retreat may be delivered by accommodation providers, guides, teachers, therapists, restaurants, transport providers or other independent local partners.

We select and coordinate our partners with reasonable care. Nothing in these Terms & Conditions excludes or limits any responsibility that Tanatana/vzw L4L has towards you under applicable consumer or travel law.

18. Personal treatments & optional services

Optional services such as massages or individual treatments may sometimes be available during a retreat.

Unless they are explicitly included in the retreat price, these services are booked and paid for separately.

Availability cannot be guaranteed.

19. Right of withdrawal

Retreats generally include accommodation, leisure activities and other services provided on specific dates or during a specific period. The statutory 14-day right of withdrawal applicable to many online purchases therefore does not necessarily apply in the same way to these bookings.

Nothing in these Terms & Conditions limits any mandatory consumer rights that apply to your booking.

20. Applicable law

These Terms & Conditions are governed by Belgian law, without affecting any mandatory consumer protections you may have under applicable Belgian or European law.

If a disagreement arises, we encourage you to contact us first so we can try to find a reasonable solution.

21. Contact & organiser

Retreats are organised by:

Tanatana / vzw L4L

Tanatana is a wellbeing and cultural initiative of vzw L4L, which acts as the legal organiser of the retreat.

Terms & Conditions – Events

Last updated: August 2026

These Terms & Conditions apply to registrations, purchases and participation in events, workshops, classes and other activities offered through Tanatana, unless specific terms are communicated for a particular activity.

By registering for or purchasing an activity, you agree to these Terms & Conditions.

1. About Tanatana

Tanatana is a wellbeing and cultural initiative operating under vzw L4L, a Belgian non-profit organisation.

Tanatana is the public-facing platform through which activities around movement, wellbeing, culture, nature and community are communicated and organised. Tanatana is not a separate legal entity.

Unless explicitly stated otherwise, activities offered through Tanatana are legally organised by:

vzw L4L
Enterprise number: 0804732091
Registered office: Bagattenstraat143, 9000 Ghent, Belgium
Belgium
Contact: santeddu.claudia@hotmail.com

2. Registration

Registration is confirmed once the required registration process has been completed and, where applicable, payment has been received.

Places may be limited and are allocated according to availability.

Registrations are personal. If you can no longer attend, you may transfer your place to another person where permitted. Please contact us beforehand so we can update the participant details.

3. Prices & Payment

All prices are displayed in euros and include applicable taxes where required.

Payment must be made using one of the payment methods offered during registration.

For certain activities, bookings and payments may be processed through an external booking or payment provider such as Momoyoga. Additional terms of that provider may apply to the use of its platform.

4. Cancellation by the Participant

We understand that plans can change. However, our events are prepared based on the number of registered participants, and catering, materials, venue arrangements and workshops may be organised well in advance.

Unless different cancellation conditions are explicitly stated for a particular activity:

  • More than 5 days before the event: 75% refund
  • Between 5 days and 48 hours before the event: 50% refund
  • Less than 48 hours before the event or in case of a no-show: no refund

The cancellation time is determined by the time we receive your written cancellation.

Where possible, your registration may instead be transferred to another person at no additional cost.

Please see our separate Cancellation Policy for further information.

5. Cancellation or Changes by the Organiser

We reserve the right to make reasonable changes to an activity where necessary. This may include changes to the programme, schedule, facilitator, teacher or location.

Such changes do not automatically entitle participants to a refund where the essential nature of the activity remains substantially unchanged.

If an activity is cancelled by Tanatana/vzw L4L and no suitable alternative is offered, participants will receive a full refund of the participation fee paid.

If an activity is postponed, registrations will normally remain valid for the new date. Participants who cannot attend the new date may request a refund.

6. Circumstances Beyond Our Control

Tanatana/vzw L4L cannot be held responsible for failure or delay in organising an activity due to circumstances reasonably outside our control, such as severe weather, government restrictions, transport disruption, illness or other unforeseen circumstances.

Where possible, we will seek a reasonable solution, such as rescheduling, relocating or adapting the activity.

Nothing in these Terms limits any rights you may have under mandatory Belgian consumer law.

7. Participation, Health & Personal Responsibility

Our activities may include yoga, movement, breathwork, meditation, workshops, natural skincare, food, herbs or other wellbeing-related practices.

You are responsible for determining whether an activity is appropriate for you and for respecting your own physical limits.

If you have an injury, allergy, pregnancy, medical condition or other circumstance that could affect your safe participation, please inform the relevant facilitator where appropriate before participating.

Information shared during our activities is intended for general educational and wellbeing purposes and should not be considered medical advice, diagnosis or treatment.

Participation in an activity does not replace professional medical or healthcare advice.

8. Allergies & Dietary Requirements

Where food, drinks, herbs, oils, skincare ingredients or similar products are provided, participants are responsible for informing us of relevant allergies or intolerances in advance.

We will make reasonable efforts to accommodate communicated dietary requirements and allergies but cannot guarantee an entirely allergen-free environment.

Participants remain responsible for checking whether products or ingredients are suitable for their individual circumstances.

9. Personal Belongings

Participants remain responsible for their personal belongings during activities.

To the extent permitted by applicable law, Tanatana/vzw L4L is not responsible for loss, theft or damage to personal belongings unless caused by fault attributable to the organiser.

10. Liability

Tanatana/vzw L4L takes reasonable measures to provide activities in a safe and professional manner.

Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited under Belgian law.

Participants remain responsible for following reasonable instructions from facilitators and communicating relevant limitations that may affect their participation.

11. Photography & Video

Photography or video may occasionally take place during Tanatana activities for communication and promotional purposes.

Where appropriate, participants will be informed when photography or filming is taking place. Where consent is legally required for a particular use, consent will be requested.

If you prefer not to appear in identifiable photographs or videos, please inform us or the photographer.

12. Intellectual Property

Unless otherwise indicated, materials provided during Tanatana activities — including written materials, workshop content, photographs, graphics and other original content — remain the intellectual property of their respective creator or rights holder.

Materials provided for personal use may not be reproduced, sold, published or commercially distributed without prior permission.

13. Privacy

Personal data is processed in accordance with our Privacy Policy and applicable data-protection legislation, including the General Data Protection Regulation (GDPR).

14. Right of Withdrawal

Under EU and Belgian consumer law, consumers generally have a 14-day right of withdrawal for distance contracts.

However, this right does not generally apply to contracts concerning leisure activities where the contract provides for a specific date or period of performance, where the applicable legal exemption applies.

This may therefore apply to bookings for scheduled Tanatana events, workshops and similar activities.

Your statutory consumer rights remain unaffected.

15. Complaints

If you have a question or complaint concerning an activity, registration or payment, please contact us at:

santeddu.claudia@hotmail.com

We will make reasonable efforts to resolve complaints directly and in good faith.

16. Applicable Law

These Terms & Conditions are governed by Belgian law.

Any dispute will be handled by the competent courts in accordance with applicable Belgian and European consumer-protection rules.

17. Changes to These Terms

We may update these Terms & Conditions when our activities, organisation or applicable legal requirements change.

The version applicable to your booking is the version made available at the time of registration, unless mandatory law requires otherwise.
