Cancellation Policy
Cancellation Policy – Retreats
We know that life happens and plans sometimes change. At the same time, organising a retreat means making quite a few commitments long before we arrive: accommodation is reserved, meals are planned and teachers, activities and local partners are booked based on the number of people joining us.
To keep things fair for everyone involved, the following cancellation policy applies to Tanatana retreats, unless different conditions are mentioned on the specific retreat page.
Booking & deposit
Your place is confirmed once we receive the deposit stated on the retreat page. The deposit is non-refundable, as we use it to secure your accommodation and start making arrangements for your stay. The remaining balance needs to be paid by the deadline communicated when you book. If we don’t receive the balance by then, we may need to release your place.
If you need to cancel
If your plans change and you can no longer join us:
- More than 90 days before the retreat: everything you have paid beyond the deposit will be refunded.
- Between 90 and 60 days before the retreat: 50% of the total retreat price will be refunded.
- Less than 60 days before the retreat or in case of a no-show: we can no longer offer a refund.
Your cancellation date is the date we receive your written cancellation. If someone else would like to take your place, you can usually transfer your booking to another person at no additional cost. Just let us know beforehand so we can update the booking details and make sure any participation requirements are met. If you cancel and we manage to fill your place with another participant, we’ll always try to be reasonable and may be able to offer an additional refund. Any costs we have already committed to and cannot recover will be deducted. We cannot offer refunds if you arrive later, leave earlier or decide to skip certain classes, meals, activities or other parts of the retreat.
If we need to cancel
If Tanatana or vzw L4L cancels the retreat, you will receive a full refund of all retreat payments made to us. We cannot cover other costs related to your trip, such as flights, ferries, transportation or accommodation booked separately, unless required otherwise by applicable law. For that reason, we strongly recommend taking out travel and cancellation insurance and choosing flexible travel options where possible.
We strongly recommend travel and cancellation insurance covering illness, injury, travel disruption and other circumstances that may prevent you from attending. These circumstances do not change the cancellation conditions above.
Changes to the programme
Part of travelling and organising retreats in nature is accepting that not everything can be controlled. Weather changes, a local partner may become unavailable, or circumstances may require us to adjust our plans. If something outside our reasonable control makes part of the original programme impossible or unsafe, we may make reasonable changes to the schedule, activities, facilitators or location. Wherever possible, we’ll arrange a suitable alternative. Changes to individual parts of the programme do not automatically entitle participants to a refund. If the entire retreat needs to be postponed, your booking will automatically move to the new dates. If you cannot join on those dates, you can request a refund of the retreat payments made to us.
We reserve the right to ask a participant to leave if their behaviour seriously affects the safety or wellbeing of other participants, facilitators or partners. In this situation, unused parts of the retreat will not be refunded and any additional travel or accommodation costs remain the participant’s responsibility.
Minimum number of participants
Some retreats need a minimum number of participants to go ahead. If this applies, we’ll mention it on the retreat page or when you book. If we decide to cancel because the minimum number has not been reached, you will receive a full refund of all retreat payments made to us. We recommend waiting until the retreat has been confirmed before booking any non-refundable flights or other travel arrangements.
Right of withdrawal
Retreats combine accommodation, activities and other leisure services taking place on specific dates. For these types of bookings, the statutory 14-day right of withdrawal that applies to many online purchases generally does not apply.
By completing your booking, you confirm that you have read and accepted the cancellation conditions for the retreat.

Cancellation Policy – Events
We understand that plans can change. At the same time, our events are prepared in advance based on the number of registered participants. This includes catering, materials, products, venue costs and preparation by our facilitators.
For this reason, the following cancellation policy applies to Tanatana events unless different conditions are explicitly stated on the event page.
Cancellation by the participant
If you are unable to attend:
- More than 5 days before the event: 75% refund
- Between 5 days and 48 hours before the event: 50% refund
- Less than 48 hours before the event or in case of a no-show: no refund
The cancellation time is determined by the moment we receive your written cancellation.
Where possible, you may transfer your ticket to another person at no additional cost. Please inform us in advance so we can update the participant details.
Cancellation by Tanatana
If an event is cancelled by Tanatana or vzw L4L, participants will receive a full refund of the participation fee.
Tanatana/vzw L4L cannot be held responsible for additional expenses incurred by participants in connection with the event, such as transportation or accommodation, unless required otherwise by applicable law.
If circumstances outside our reasonable control make it impossible or unsafe to organise the event as planned, we may postpone, relocate or make reasonable changes to the programme. Participants will be informed as soon as reasonably possible.
If an event is postponed, your registration will automatically remain valid for the new date. If you cannot attend the new date, you may request a refund.
Right of withdrawal
For events, workshops and other leisure activities scheduled for a specific date or period, the statutory 14-day right of withdrawal applicable to many online purchases generally does not apply.
By completing your registration, you acknowledge the cancellation conditions applicable to the event.
